  • Recording participant check-in and check-out using mobile devices;
  • Viewing registration and attendance statistics; and
  • Viewing, managing and exporting event attendance records.

By registering for an account, purchasing a service plan or using the Services, you agree to these Terms. If you do not agree with these Terms, you must not use the Services.

2. Description of Services

Event Management Dalang! provides an online platform that enables event organizers to manage event registration, admission and attendance records through a web browser.

Depending on the applicable service plan and available functionality, the Services may include:

  • Event creation and configuration;
  • Customizable registration forms;
  • Online participant registration through a web browser;
  • Individual QR Code generation for registered participants;
  • QR Code distribution by email and MMS, subject to the applicable plan and usage limits;
  • Mobile QR Code scanning for check-in and check-out;
  • Real-time registration and attendance statistics; and
  • Access to attendance records and export of supported data formats, including Excel.

The Services are intended to assist event organizers in administering their events. We do not organize, host or supervise events on behalf of customers unless expressly agreed in writing.

We reserve the right to modify, improve, suspend or discontinue any feature of the Services, subject to applicable law and any specific contractual commitments made to customers.

3. Account Registration and Responsibilities

Certain functions of the Services require an account.

When registering for an account, you agree to provide accurate and up-to-date information and to maintain the accuracy of that information.

You are responsible for:

  • Maintaining the confidentiality of your login credentials;
  • Preventing unauthorized access to your account;
  • Ensuring that individuals using your account are authorized to do so;
  • All activities conducted through your account; and
  • Notifying us promptly if you become aware of unauthorized access or suspected security breaches.

You must not use another person's account without authorization or create accounts for fraudulent or unlawful purposes.

We reserve the right to restrict, suspend or terminate accounts in accordance with these Terms where necessary to protect the Services, other users or applicable legal requirements.

4. Event Creation and Management

Customers may use the Services to create and manage events by entering information such as:

  • Event name and description;
  • Event date and time;
  • Event venue;
  • Registration deadline;
  • Registration capacity; and
  • Other information supported by the platform.

Customers are responsible for ensuring that all event information is accurate, complete and lawful.

Customers must promptly update event details if there are material changes to the event date, time, venue, registration arrangements or other information provided to participants.

We are not responsible for losses arising from incorrect, incomplete or outdated event information supplied by customers.

Customers are responsible for conducting their events, communicating with participants, managing cancellations and handling any disputes between the event organizer and participants.

5. Registration Forms and Participant Information

The Services allow customers to configure registration forms to collect information from participants.

Customers are responsible for determining what information is necessary for their events and ensuring that the information requested is lawful, relevant and proportionate to the intended purpose.

Customers must not use registration forms to collect unlawful information or information that they are not authorized to collect.

Customers are responsible for providing appropriate privacy notices, obtaining any consent or authorization required by applicable law, and explaining how participants' information will be used.

We provide the technical platform for registration and data management. Unless otherwise agreed in writing, customers remain responsible for the purposes and means of collecting participant information and for their own compliance with applicable data protection laws.

6. QR Code Generation and Distribution

The Services may generate an individual QR Code for each registered participant for event admission and attendance recording.

Depending on the applicable service plan, QR Codes may be distributed through email or MMS.

Customers acknowledge that:

  • Email and MMS delivery may be affected by recipient settings, network conditions, telecommunications providers, spam filters and other factors beyond our reasonable control.
  • Delivery of a message does not guarantee that the recipient has read or received it successfully.
  • Customers are responsible for providing accurate participant contact details.
  • MMS distribution is subject to the free allowance, applicable limits and any additional charges specified in the selected service plan or quotation.
  • Customers must not use the distribution functions for unlawful messaging, spam or unauthorized communications.

Customers must take reasonable measures to prevent the unauthorized sharing, duplication or misuse of QR Codes.

A QR Code is a technical admission credential and does not, by itself, guarantee admission to an event. Event organizers remain responsible for determining admission rules and handling disputed or unauthorized entries.

7. Mobile Check-in and Check-out

The Services may allow authorized event staff to scan participant QR Codes using compatible mobile devices and a web browser without installing a dedicated application.

Depending on the system configuration, scanning may record a participant's check-in time, check-out time and related attendance information.

Customers are responsible for:

  • Authorizing staff to access the relevant event functions;
  • Ensuring that staff understand the correct check-in and check-out procedures;
  • Using compatible devices with functioning cameras and suitable internet connectivity where required;
  • Preventing unauthorized access to participant records; and
  • Reviewing attendance records where necessary.

The accuracy and completeness of attendance records may depend on device functionality, network connectivity, staff procedures, participant actions and system availability.

The Services do not guarantee that all unauthorized entries, duplicate scans, QR Code sharing or other attendance irregularities will be detected or prevented.

Customers remain responsible for determining whether a participant has validly attended an event.

8. Attendance Statistics and Data Export

The Services may provide statistics including:

  • Total registered participants;
  • Number of participants checked in;
  • Number of participants checked out;
  • Number of participants who have not checked in; and
  • Individual participant attendance times.

Statistics are generated from the information recorded in the system and may be affected by delayed updates, incorrect data, scanning errors, connectivity issues or other technical limitations.

Customers are responsible for reviewing the records and confirming their accuracy before using them for reporting, administrative decisions or other purposes.

Where data export is available, customers are responsible for downloading, checking, storing and protecting exported files. Exported files may contain personal data and must be handled in accordance with applicable law.

We do not guarantee that exported data will remain accessible indefinitely or that every export format will be available in all circumstances.

9. User Responsibilities and Prohibited Activities

You agree to use the Services only for lawful purposes and in accordance with these Terms.

You must not:

  • Provide false or misleading information;
  • Impersonate another person or falsely register participants;
  • Create or manipulate attendance records fraudulently;
  • Access or attempt to access accounts, events or data without authorization;
  • Interfere with the security, integrity or operation of the platform;
  • Reverse engineer, copy or exploit the Services except as permitted by law;
  • Use the Services to transmit unlawful, fraudulent, abusive or harmful content;
  • Use email or MMS distribution functions for spam or other unauthorized communications; or
  • Use the Services in a manner that infringes the rights of any third party or violates applicable law.

We may investigate suspected violations and take appropriate action, including restricting access, suspending accounts or terminating the Services in accordance with these Terms and applicable law.

10. Data Protection and Privacy

We take reasonable measures to protect information processed through the Services.

Depending on how the Services are used, information may include:

  • Account and organization information;
  • Event details;
  • Participant names;
  • Telephone numbers and email addresses;
  • Registration form responses;
  • QR Code and distribution records;
  • Check-in and check-out records;
  • Attendance timestamps; and
  • Technical, device and system information.

The collection, use, storage, disclosure and protection of personal data are subject to our applicable Privacy Policy and relevant data protection laws.

Customers must ensure that they have a lawful basis for collecting and processing participant information and for authorizing us to process such information to provide the Services.

Customers must not upload or collect personal data that they are not authorized to process.

Customers are responsible for responding to participant enquiries and requests relating to personal data to the extent required by applicable law. We will provide reasonable cooperation where appropriate and as required by law or an applicable agreement.

Nothing in these Terms removes or limits any obligation imposed on either party by applicable data protection legislation.

11. Service Plans, Fees and Payment

11.1 Available Service Plans

The Services are offered under different pricing plans.

The fees payable for the Services shall be determined in accordance with the applicable service plan selected by the Customer and the latest pricing information published on our website at https://oscrapa.com/evm/index.php.

The Customer is responsible for reviewing the applicable fees, service plan details, usage limits, included services and any additional charges before purchasing or using the Services.

Actual charges may vary according to event capacity, the number of events, additional MMS requirements, requested functions and other agreed service requirements.

Where there is a conflict between a published general price and a specific quotation accepted by both parties, the accepted quotation or written agreement shall govern the relevant transaction, subject to applicable law.

11.2 Payment

Unless otherwise agreed in writing, customers must pay the applicable service fees in accordance with the payment instructions or quotation issued by us.

Customers are responsible for ensuring that payment information is accurate and that payments are properly authorized.

We may delay activation or restrict access to paid functions until the required payment has been received and confirmed.

Any additional charges for MMS usage, additional services or customized requirements must be agreed or disclosed before the relevant charge is incurred.

11.3 MMS Allowances and Additional Charges

The free MMS allowances are limited to those specified in the applicable plan.

These allowances are not necessarily interchangeable between events or plans. Unless expressly agreed in writing, unused allowances have no cash value and cannot be redeemed for a refund.

Additional MMS distributions, if available, may be subject to separate charges and usage conditions communicated to the customer before purchase or use.

MMS delivery remains subject to the availability and performance of relevant telecommunications networks and service providers.

11.4 Cancellation and Refunds

Customers should confirm that the selected service plan, event requirements, usage allowances and applicable fees meet their needs before completing a purchase.

Unless otherwise stated in a written agreement or required by applicable law, fees paid for services already activated or delivered are non-refundable.

Any request to cancel an order, change a service plan or request a refund will be assessed according to the applicable quotation, the stage of service delivery and applicable law.

Nothing in this clause excludes any refund or other remedy that cannot lawfully be excluded.

11.5 Pricing Changes

We may revise published prices, service plans, usage allowances and additional service charges from time to time.

Unless otherwise agreed in writing or required by law, changes to published pricing will apply to future purchases or renewals and will not retrospectively change fees already paid for a confirmed order.

11.6 Service Term and Renewal

The applicable service period, if any, will be specified in the selected plan, quotation or written agreement.

Where a service plan has an expiry date or renewal requirement, continued use beyond that date may require renewal or payment of additional fees.

Customers are responsible for checking the applicable service period and completing any required renewal arrangements in time.

12. Data Retention and Account Closure

Customers are responsible for exporting and securely retaining any event records they need for their own operational, legal or reporting purposes.

Following expiry of a service plan, account closure or termination of the Services, access to event data or platform functions may be restricted.

We will handle stored information in accordance with our Privacy Policy, applicable data retention procedures and legal obligations.

Where practicable and legally permissible, customers should contact us before account closure or service expiry if they require assistance with data export or retrieval.

We do not guarantee indefinite storage or continued availability of event records after the applicable service period has ended unless expressly agreed in writing.

13. Third-Party Services

The Services may depend on third-party services or technologies, including:

  • Cloud hosting and infrastructure providers;
  • Email delivery services;
  • MMS and telecommunications providers;
  • Internet connectivity;
  • Mobile device cameras and web browsers; and
  • Other technical services required to operate the platform.

Third-party services may be subject to their own terms, privacy policies, availability restrictions and technical limitations.

We are not responsible for failures or interruptions caused by third parties beyond our reasonable control. This clause does not exclude liability that cannot lawfully be excluded.

14. Intellectual Property Rights

All intellectual property rights in the Services, including the software, source code, system architecture, interface design, logos, trademarks, documentation and related technology, belong to us or our licensors.

Subject to these Terms and the applicable service plan, we grant customers a limited, non-exclusive, non-transferable right to access and use the Services for their authorized event management purposes during the applicable service period.

Customers must not copy, modify, distribute, sublicense, reverse engineer or commercially exploit any part of the Services except where expressly authorized by us or permitted by applicable law.

Customers retain responsibility for ensuring that event content, images, documents, logos and other materials uploaded to the platform do not infringe third-party rights.

Customers authorize us to host, process and display such materials only to the extent reasonably necessary to provide and maintain the Services, subject to our Privacy Policy and any applicable written agreement.

15. Suspension and Termination

We may suspend, restrict or terminate access to the Services where reasonably necessary, including where:

  • A customer materially breaches these Terms;
  • Fraudulent, unlawful or unauthorized activity is suspected;
  • A customer's use creates a material security risk;
  • Required payments remain outstanding;
  • We are required to do so by law or a competent authority; or
  • Continued provision of the Services would create a material operational or security risk.

Where reasonably practicable and legally permissible, we will provide notice of the suspension or termination and an opportunity to address the relevant issue.

Upon termination, the customer's right to use the affected Services may cease. Any outstanding payment obligations and provisions that by their nature should survive termination will remain effective.

Nothing in this section prevents either party from exercising rights available under applicable law or an applicable written agreement.

16. Disclaimer

The Services are provided on an "as is" and "as available" basis, subject to applicable law and any express commitments made in writing.

We will make reasonable efforts to maintain the functionality and reliability of the platform. However, we do not guarantee that:

  • The Services will be continuously available or free from errors;
  • Every email or MMS containing a QR Code will be delivered successfully;
  • Every QR Code scan will be recorded successfully in all circumstances;
  • Attendance records will be completely accurate or comprehensive without user verification;
  • All unauthorized admission or attendance activities will be detected or prevented; or
  • The Services will be compatible with every device, browser, network or third-party system.

Customers should maintain appropriate operational procedures and verify important attendance information where necessary.

Nothing in these Terms excludes any guarantee, representation or liability that cannot lawfully be excluded under applicable law.

17. Limitation of Liability

To the maximum extent permitted by applicable law, we will not be liable for indirect, incidental, special or consequential loss, loss of profits, loss of business opportunities or loss of anticipated savings arising from the use of, or inability to use, the Services.

Subject to applicable law, we will not be responsible for losses arising from:

  • Incorrect or incomplete event information supplied by customers;
  • Incorrect participant contact details;
  • Failed or delayed email or MMS delivery;
  • Incorrect, incomplete or disputed attendance records;
  • Participant misuse or unauthorized sharing of QR Codes;
  • Customer errors in configuring events or registration forms;
  • Internet, device, telecommunications or third-party service failures; or
  • Events or circumstances beyond our reasonable control.

Customers are responsible for maintaining suitable records and operational arrangements for their events.

Nothing in these Terms excludes or limits liability for fraud, wilful misconduct or any other liability that cannot lawfully be excluded or limited.

18. Indemnity

To the extent permitted by applicable law, customers are responsible for claims, losses and reasonable costs arising from their unlawful use of the Services, their material breach of these Terms, their infringement of third-party rights, or their failure to obtain any authorization required for the collection or use of participant information.

This clause does not apply to the extent that a claim or loss is caused by our own breach of these Terms, negligence or other conduct for which liability cannot lawfully be excluded.

19. Changes to These Terms

We may update these Terms from time to time to reflect changes in the Services, pricing arrangements, technology or legal requirements.

The latest version will be published on our website with its effective date.

Where required by applicable law or an applicable agreement, we will provide notice of material changes.

Your continued use of the Services after updated Terms take effect constitutes acceptance of those changes to the extent permitted by law. If you do not agree to a material change, you should discontinue use of the affected Services and contact us regarding any applicable contractual arrangements.

20. Governing Law and Jurisdiction

These Terms are governed by and construed in accordance with the laws of the Hong Kong Special Administrative Region.

The parties submit to the non-exclusive jurisdiction of the courts of Hong Kong in relation to disputes arising out of or in connection with these Terms, subject to any mandatory legal requirements.

21. General Provisions

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue in effect to the extent permitted by law.

Our failure or delay in exercising a right under these Terms does not constitute a waiver of that right.

These Terms, together with any applicable quotation, written service agreement and Privacy Policy, form the relevant contractual framework for use of the Services. Where a specific written agreement expressly overrides a provision of these Terms, that agreement will govern to the extent of the conflict.
